Mission Statement: To inspire understanding and stewardship of Portland history through Pittock Mansion, its collections, and programs.

Pittock Mansion is a house of beauty and historical significance. Operated as a historic house museum, the home provides a revealing glimpse of Portland’s past. Having grown to well over 100,000 annual visitors in recent years, Pittock Mansion is one of the top destinations in Portland. We are seeking a Director of Finance & Administration to join our team. This is an exciting time of growth and evolution for Pittock Mansion, and a unique opportunity to develop our finance/human resources/administration department.

The Director of Finance & Administration is a strategic member of our leadership team, and reports to the Executive Director. The successful candidate will be a hands-on and participative manager, responsible for the following areas: finance/accounting, human resources, and administration (including facilities and IT oversight).

Essential duties and responsibilities include but are not limited to:


  • Contribute to the development of Pittock Mansion’s strategic goals and objectives as well as the overall management of the organization.
  • Participate as a member of the senior staff team and provide regular communication and information to the team related to programs, contracts, policy & strategy, and successes & challenges as they relate to the financial position of the organization. Provide financial mentorship to non-finance members of the senior staff team.
  • Establish and implement policies and procedures for all financial management functions, ensuring appropriate controls and compliance with generally accepted accounting practices (GAAP).
  • Maintain systems to provide critical financial and operational information to the senior staff, Executive Director, Finance Committee, and Board of Directors.
  • Lead annual budgeting and planning process in coordination with senior staff.
  • Supervise the Accounting & Administrative Specialist who handles day-to-day financial procedures and provides general administrative, IT, and executive support: this includes oversight of general ledger entry and reconciliation, accounts payable and receivable, fixed assets, bi-weekly payroll (ADP), and monthly financial reporting preparation.
  • Cash and investment management.
  • Ensure successful completion of annual audits (when required), Form 990 and other IRS filings, and all other mandated financial reports.
  • Serve as the liaison to the Finance Committee, including coordination of, and participation in, Finance Committee meetings.

Human Resources

  • Responsible for the overall administration, coordination, and evaluation of the human resources department, including working with direct supervisors for recruitment and new employee orientation; employee handbook; employee relations; benefits; compensation; training/development programs; and compliance with all federal, state, and local employment laws.
  • Work with senior staff to develop, recommend, and implement personnel policies and procedures to achieve continual improvements to the effectiveness of the department and services.


  • Accountable for the effectiveness of administrative procedures and systems including office equipment, phone system, and security system.
  • Oversee staff and outside vendors/partners responsible for the cleaning, maintenance, security, and general upkeep of the Mansion and outbuildings.
  • Supervise the Facilities & Collections Specialist who addresses facility and collections needs to ensure the visual integrity of the Mansion and outbuildings, and support the appropriate care of its collections.
  • Work with Portland Parks & Recreation (PPR) to plan and direct all repairs, maintenance projects, and annual January close period tasks.
  • Oversee staff and outside consultant responsible for IT; work with them to plan and direct IT operations and ensure they are managed effectively and proactively.
  • Coordinate business insurance policies and requirements with outside broker.


  • Lead special projects as assigned by the Executive Director.
  • Adapt to changing responsibilities or procedures as deemed appropriate by the Executive Director and work with Executive Director to evolve the Finance/HR/Administration department as the organization grows.

Qualification and Education Requirements:

  • A bachelor’s degree in Accounting or Finance.
  • A minimum of five years financial/accounting supervisory experience in a non-profit organization(s).  CPA preferred.
  • Two to four years experience and interest in Human Resource policies and procedures, including benefits administration and employee relations management.
  • Exceptional organizational and managerial skills in an evolving environment.
  • Demonstrated success managing and motivating staff, fostering a positive work environment, and modeling best practices.
  • Ability to understand interdepartmental connectedness and foster a collaborative work environment.
  • Consistent ability to take ideas from vision to implementation.
  • Proficiency in accounting software. QuickBooks experience strongly preferred.
  • Proficiency in Microsoft Office Suite.
  • Prior payroll processing experience helpful.
