Title:  Development and Membership Coordinator

Reports to: Director of Development

Location:  Portland, OR.

Type:  Full time/Hourly/Non-exempt

Salary: $22-23 per hour. Depending on experience.

ABOUT PITTOCK MANSION:

 

Pittock Mansion is a 1914 historic house museum, owned by the City of Portland, Park and Recreation, and operated by the Pittock Mansion Society. The premises include the mansion, the Gate Lodge, and the Garage with beautiful gardens adjacent to the Pittock Viewpoint. The mission of the organization is to inspire understanding and stewardship of Portland history through Pittock Mansion, its collections, and programs. With approximately 80,000 annual visitors in recent years, Pittock Mansion is one of the top tourist destinations in Portland. The organization is at an exciting juncture of strategic growth and reimagination with the new vision, Pittock 2.0.

POSITION SUMMARY:

Under the supervision of the Development Director, the Development Coordinator will assist with the coordination of Pittock Mansion’s development department and membership activities. The Development Coordinator will manage all the administrative functions of the department such as maintaining the Mansion’s donor database, accurately processing all gifts, and assisting in other strategic development and membership growth activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

·         Collection, data entry, and maintenance of patron information in the organization’s database

·         Maintenance of all patron database information

·         Processing of donations & membership dues

·         Coordination of all acknowledgment correspondence for gifts and memberships

·         Preparation of membership welcome, reinstatement, and benefit packages

·         Coordination of printing and mailing activities for membership and development communications.

·         Coordination of corporate sponsorship including actively seeking sponsorships

·         Prepare reports as needed for membership and development activities

·         Provide development and membership-related data to management as requested.

·         Coordination of event invitation lists for development receptions and member events

·         Support and coordination of grants

·         Proactively grow membership at all levels keeping management informed and involved

·         Support and attend all development & membership events including coordinating logistics of set up as needed

·         Additional duties as deemed necessary by management

Skills

·         Two to three years of relevant experience especially in non-profit

·         Strong organizational skills and attention to detail

·         High level of comfort with database systems

·         Professional manner and appearance

·         Flexibility and ability to work under organizational change

·         Ability to meet deadlines in alignment with department and institutional priorities

·         Record of dependability, timeliness, and good attendance

·         Effective communication skills

·         Dependable transportation

·         Proficient in PC-based Microsoft Word & Excel

·         Bachelor’s degree is a plus

·         Prior fundraising event experience is helpful

·         Grant management and writing experience is a plus

PHYSICAL ACTIVITIES / OTHER CONDITIONS

·         Work is required to be done onsite at Pittock Mansion with some hybrid as approved by the direct supervisor

·         Wearing of personal protective equipment (e.g. face covering, gloves) may be required

·         Light to medium work that includes moving objects up to 30 pounds
