Title:  Human Resources/Employee Relations Specialist

Reports to: CEO/Director of Operations

Location:  Portland, OR.

Type:  Part-time/Non-exempt

Salary: $20-25 per hour. Based on experience

Hours: 16-20 hours/week

Benefits:  Pittock Mansion Society offers part-time employees accrued sick time after 90 days.

This position is in person on the Pittock Mansion Society campus.

ABOUT PITTOCK MANSION:

Pittock Mansion is a 1914 historic house museum, owned by the City of Portland, Park and Recreation, and operated by the Pittock Mansion Society. The premises include the mansion, the Gate Lodge, and the Garage with beautiful gardens adjacent to the Pittock Viewpoint. The mission of the organization is to inspire understanding and stewardship of Portland history through Pittock Mansion, its collections, and programs. With approximately 80,000 annual visitors in recent years, Pittock Mansion is one of the top tourist destinations in Portland. The organization is at an exciting juncture of strategic growth and reimagination with the new vision, Pittock 2.0.

ABOUT THE ROLE:

The Human Resources/Employee Relations Specialist is a newly created position at Pittock Mansion and will report to the new Director of Operations with close working relations with the CEO and the finance department. This role will play a critical role in fostering positive employee relations and providing support throughout the employee lifecycle, especially as the organization is going through significant growth and change.

 

Their role will focus on coordinating the full cycle of hiring, onboarding, and offboarding, maintaining updated physical and digital versions of the employee and contractor records, helping update the employee manual, creating efficient internal systems and standard documents, executing mid-year and annual performance reviews with managers and assist with HR-related mediation, as necessary. They will also assist with required employee training, recognition activities, and updating the supervisor on changing HR policies. To be successful in this role, you should have a good understanding of standard HR practices and a solid knowledge of Federal & OR labor legislation.

 

Essential duties and responsibilities include but are not limited to the following.

 

  • Recruit and assist with interviewing job applicants for the entire organization. This will also include managing reference checks.
  • Manage offer letters. Perform background checks and schedule onboarding, coordinating start dates with the appropriate manager and the finance department.
  • Manage all aspects of onboarding/offboarding employees and maintain appropriate documentation. Work with finance to ensure all final paychecks are accurate.
  • Work with the CEO and managers to develop and record performance evaluations twice a year.
  • Assist with updating the employee manual and creating required policies.
  • Maintain employee records.
  • Handle employee relations as requested.
  • Track and share employee trends and data as time allows.

In addition to the above duties, special projects, and administrative support duties as deemed appropriate by the direct supervisor/CEO.

Skills Required:

  • HR/Employee Relations experience in non-profit and in an office setting.
  • Relevant training and/or certifications as an HR/Employee Relations Specialist

·         Familiarity with DEAI principles and cultural sensitivity practices.

·         High degree of work ethics including maintaining confidentiality and managing sensitive information and situations.

·         Outstanding interpersonal skills

·         Exceptional written and verbal communication

·         Excellent organizational skills and attention to detail

·         Strong problem-solving ability

·         Exceptional time management and organizational skills, with a high level of attention to detail and ability to effectively multi-task

·         Highly proficient in Microsoft Office, particularly Excel, Word, and emails.

·         Good writing skills.

Physical Activities / Environmental Conditions

  • Light to medium work that includes moving objects up to 30 pounds.
  • Workstations may not be in a climate-controlled environment.
  • Work will take place in various locations around the PMS campus and will require the ability to navigate stairs.
