Title: Volunteer Coordinator

Reports to: Assistant Director of Guest Experience

Location: Portland, OR

Type: Part time/hourly. 16-24 hours/week

Salary: $25/hour

ABOUT PITTOCK MANSION:

Pittock Mansion is a 1914 historic house museum, owned by the City of Portland, Parks and Recreation and operated by the Pittock Mansion Society. The premises include the Mansion, the Gate Lodge and the Garage with beautiful gardens adjacent to Pittock Vista Point. The mission of the organization is to inspire understanding and stewardship of Portland history through Pittock Mansion, its collections, and programs. Pittock Mansion is one of the top tourist destinations in Portland.

The organization is at an exciting juncture of growth, reimagination, and evolution with the new vision, Pittock 2.0.

Essential duties and responsibilities include but not limited to:

Volunteer Program Management

  • Manage communication and scheduling for the museum’s volunteer program, including host volunteers, school tour volunteers, and tour guides.
  • Re-engage volunteers who have completed recruitment and training but have not yet begun active service.
  • Develop and implement proactive recruitment strategies to expand the volunteer pool in support of growing programs.
  • Train volunteers and assign them to appropriate programs based on interests, availability, and organizational needs.
  • Conduct and process background checks for volunteers in accordance with museum policies.
  • Maintain accurate volunteer records, track participation, and prepare reports on volunteer engagement and program impact!

Volunteer Training and Support

  • Develop and maintain volunteer training materials and program resources.
  • Monitor and manage inventory of volunteer-related supplies.
  • Serve as a trained backup for school tours or other guided tours when a scheduled volunteer is unavailable.
  • Process volunteer support needs, including parking passes and logistical coordination for special events.

Event and Program Coordination

  • Coordinate all aspects of Pittock Mansion’s annual Home for the Holidays event, including multiple months of planning, installation, monitoring, and deinstallation activities.
  • Serve as the primary point of contact between mansion staff, volunteer designers, and event sponsors.
  • Coordinate volunteer musician participation, including scheduling, setup logistics, parking, and communication.

Communication and Engagement

  • Prepare signage and informational materials for tours and volunteer-supported programs.
  • Communicate regularly with staff regarding volunteer schedules, updates, and changes.
  • Lead volunteer recognition initiatives, including volunteer profile features for newsletters, interviews for social media, and coordination of the annual volunteer recognition event.

Additional Duties

  • Provide general support for volunteer-related initiatives and perform other duties as assigned.

Required Skills and Experience:

  • Bachelor’s degree in communications, hospitality or related field or equivalent experience.
  • Minimum three years of direct experience with people management role. Volunteer management experience a plus.
  • Proficient in project management while being resourceful and nimble.
  • Ability to be resilient, adaptive, collaborative and creative and embrace the fact that Pittock Mansion is at a “building as its flying” stage where change is a constant.
  • Knowledge of Portland’s cultural community.
  • Having a positive “iterative learning” mindset.
  • Excellent written, verbal, and interpersonal communication skills.
  • Excellent customer service skills and ability to engage authentically, effectively, and professionally with different audiences including community members, corporate and private clients, staff and others.
  • Highly organized, with attention to details, ability to multi-task and switch priorities in an articulate manner.
  • Ability to work well with directions as well as autonomously and collaboratively.
  • Possess multi-cultural appreciation and demonstrate an ability to work with a diverse group of coworkers, visitors and other constituents.

Physical Activities/ Other Conditions:

  • Ability to work in shared/open space office environment.
  • Work is required to be done onsite at Pittock Mansion with a flexible schedule.
  • Workstations may not be in a climate-controlled environment.
  • Light to medium work that includes moving objects up to 30 pounds.
  • Ability to do set up and tear down during events, carry and set up supplies etc.
  • Ability to navigate stairs and fair amount of walking on the Pittock Estate grounds.
